TRAINER'S PAGE

BRIEFING UPDATE:

Well, if you haven't already figured it out, this page is a work in progress!  We haven't had the resources to hire a web designer/administrator so it's just one more job on my ever-expanding list of things to do.

If you've been with us for a while, you know we've tried a variety of different policies and processes for meeting our objectives and I believe we have fine-tuned the process to allow you the most time possible training clients while still helping us ensure the success of current and future programs.

There was a time when trainers had to print out stacks of paperwork and one whole day of each session was dedicated to the completion and collection of these forms which then had to be turned in to LDC.  We've really 'trimmed the fat' off the process.  The forms which remain are those which we've found to be vitally important to the success of our programs and your ultimate success as a member of the LDC team.

Please help us help you by doing your best to follow the process according to the instructions below, and we will continue to grow together as the company which offers the best training programs anywhere!

FORMS

OFFICIAL ROSTER

  • generated by the city park and rec departments
  • used by LDC to estimate number of participants
  • used to determine if a class will be held or cancelled
  • used by trainer to verify registration/enrollment
  • used to determine final headcount and trainer bonus
  • returned to LDC at the end of the first week of each class

How the ROSTER is used:

Prior to the first day of each class, the park department sends LDC an initial roster with the names of each registrant.  LDC evaluates the number of registrants to determine if the class will meet minimum enrollment.

If the number of registrants is too low, the class will be cancelled prior to day one and the trainer will be notified to NOT show up.

If the number of registrants is close to meeting minimum, the roster will be forwarded to the trainer and the trainer will show up on day one prepared to discuss options with the registrants.  Options include alternatives for potential clients in the event the class must be cancelled due to low enrollment.  (See Options Sheet at right.)

Sometimes, enough late registrants show up on day one to reach minimum and class may continue.  In this event, it is extremely important for trainers to verify registration of anyone not listed on the initial roster.  Participants must show trainer a receipt and trainer will then 'write-in' the registrant's name on the roster.  Trainer will then forward the 'write-in' info to LDC so that registration can be verified with the park department.

Due to liability issues, those not on the roster who cannot show proof of registration may NOT participate.  Please refer these potential clients to the park department or to LDC Training executive staff.

Some rosters double as role-call sheets. (Rancho Cucamonga, Fountain Valley, etc.)  We will no longer require trainers to fill these out daily as long as the Sign-In Sheets are completed and returned weekly.  (See Sign-In Sheet instructions below.)

Rosters will continue to be used for verification of registration/payment, and determination of headcount and trainer bonus.  Trainers should forward completed roster to LDC with first week's Sign-In Sheets.

SIGN-IN SHEETS

  • generated by LDC
  • required for liability waiver/release
  • used to create email list of clients
  • vital for making emergency notifications
  • important for marketing future classes
  • must be signed daily by each participant
  • return sheets to LDC at end of each week

FB Sign In Sheet
How the SIGN-IN SHEETS are used:

LDC Training will provide the trainer with enough Sign-In Sheets for each day of the program.  LDC will also provide the trainer with four stamped and addressed return envelopes.  The trainer will fill in the "Session #" and "Date" sections of the Sign-In Sheet and place on a clipboard.  The trainer will provide a pen and remind all participants to sign in at the beginning of each day's class and sign-out at the end of each day's class.  Trainer will return all completed sheets to LDC at the end of each week using the stamped, self-addressed envelopes (one for each week of the month.)

It is very important to send the Sign-In Sheets weekly.  This allows us to create and maintain a contact list for each group which is vital for promoting upcoming classes and ensuring your class reaches full enrollment.

This process (if followed properly) will relieve trainers from taking daily role call/attendance but trainers must ensure that all participants have signed in each and every day of class.  This can be done by quickly counting the number of people in attendance and comparing that number to those who have signed the sheet.
